Facility rentals

From open hour to paid invoice.

The whole rental program in one system - requests, insurance, terms, rates, invoices, and payment - so cost recovery stops depending on how much time your staff can spare.

Requests and approvals

Let outside groups start the conversation without calling your staff

Put your open time in front of the people who would pay for it, and give them a way to ask for it that does not begin with an email to a site secretary.

  • Publish a branded, no-login schedule showing exactly what is open
  • Outside groups register themselves, see what is available, and submit requests - staff provision nothing
  • Every request, change, and cancellation lands in one approval queue
  • Approve a request and create that renter's user group inline; their first approval promotes them to a billable member
  • Members get their own dashboard with upcoming bookings, hours used, and projected spend

Renter compliance

Keep every group current on what you require

Agreements, insurance, and intake questions tracked per organization - so nothing lapses quietly and nobody chases paperwork by email.

  • Define insurance requirements with minimum coverage amounts, plus any documents you require
  • Post your terms of use in-app; the system records which account accepted them and when
  • Ask new groups your own registration questions - short answer, yes/no, multiple choice, number, or date
  • Groups upload and answer; you approve or reject from one review queue, with notes
  • A Meets / Does Not Meet badge sits beside the group on the schedule, and expired coverage stops counting automatically

Rate structures

Set the rules once and every booking prices itself

Four pricing models, alone or in combination, all feeding the same invoice run - so nobody hand-builds an invoice.

  • Price by facility and time of day - peak, off-peak, and seasonal windows per space
  • Price by user group - a flat negotiated rate for an organization, regardless of when they book
  • Allocate overhead - spread staffing, custodial, and operating cost across the groups sharing each hour
  • Override a single block or a whole series with a flat special-event price, or a percentage or dollar discount
  • Schedule a rate change with an effective date; invoices already issued keep the rate they were billed at

Invoicing and payment

Finance-ready records, not a month-end rebuild

Every booked hour is already priced, so the invoice run is a review - and the money keeps moving without staff intervention.

  • Generate invoices from booked hours as PDF or Excel, with your logo and billing details
  • Groups pay online by card or bank (ACH)* - paid status updates itself, and they get a receipt
  • Configurable tax, service fees, and an optional card surcharge, broken out on every invoice
  • Payouts route directly to your facility's bank via Stripe Connect*
  • Record outside-system payments, void, or resend - all from one billing history
  • Row-level exports and revenue forecasting built for the handoff to finance

* Billing your user groups directly - online card and ACH payment, plus Stripe Connect payouts - is an optional add-on rather than part of the base subscription. It carries a fixed metro-tec service fee on the payments processed, in addition to your monthly subscription. Invoice generation, exports, and manual payment tracking are included in every tier.

Renter organizations

One record per group, from first request to final invoice

Every organization that uses your buildings carries a file: who they are, what they agreed to, what they booked, and what they owe.

  • Contacts, rate assignment, compliance status, and booking history on one record
  • Scope what each group can see and request, per facility
  • Subscribe users to notifications for their own group or across all groups
  • Full history of approvals, denials, and displacements for any group you need to account for

A note on work orders

Setup, custodial, and maintenance work generated by a rental stays in the maintenance system you already own. We do not ask you to buy a second product to close the loop - booking data exports cleanly for whatever you run today, and deeper work-order integration is on the roadmap. If that matters to your evaluation, tell us what you use.
